Morning List

The short list of jobs waiting on you — each one a quick fix that keeps everything else moving. Clear these first.

Job Board

custom jobs — for answering the phone

A quick view so anyone can answer “where's my ring?” Danny and Chad keep the working details in the binder — this shows customers, dates, and anything we're waiting on.

Repairs

take-in to pickup

Front Desk

close-outs & the guest book

Payments needing a receipt

Every Clover & Podium payment that doesn't yet have a matching Edge receipt. Make the receipt, then check it off — it stays off the list for good.
Manual Ledger receipts
Anything typed into the Ledger by hand that still needs an Edge receipt. The list above is the automatic one; this is here as a backup.

Close-Out Lane

Finished jobs — anyone can work these. Job clears when all four are checked.

Guest Book

Who came in today. Tap the name field, hit Log — the time stamps itself.

Schedule

who's working, weeks ahead

Michelle lays out the week; anyone can adjust their own shifts. Tap a day under your name to add or change a shift. Use Copy this week → next to carry the regular pattern forward, then tweak the exceptions.

Ledger

every dollar in — Clover, Podium & checks

Danny types the day's money in each morning. Front desk checks off the Edge receipt as they make it, and adds shipping info when a piece goes out. Julia audits the running list at month-end.

How to use this

a guide for the whole team
The whole point of this board is simple: everyone knows where every job is — so any one of us can pick up the phone and answer a customer clearly, without running to Chad's bench. When one of us knows, all of us know. That's the goal. Everything on here serves it.

This replaces the paper binder. It's shared — what you update, everyone sees. You can't break it by tapping around, so explore freely. And if anything ever looks off, that's exactly what the Bulletin is for (last section). Every one of us has a part in keeping the board honest, and every part matters.

Every time you sit down

Tap your name firstTop-right corner, tap the gold “working as” button and pick your name. Do it once when you sit down. It puts your name on what you update — not to check up on anyone, but so the team can see the board's being kept current.
Look around — it's all yoursEach tab is its own page. Tap to switch. Nothing you tap will hurt anything, so go explore.

How do I…

A customer calls asking “where’s my ring?”

This is the big one — the whole board exists so you can answer this yourself, with confidence.

  1. Tap the Job Board tab.
  2. Type their name in the search box — or use the Sort and Filter menus to narrow the list.
  3. Read the plain-English status — like “Waiting on customer — CAD review” or “Ready to build.”
  4. That's your answer. You just saved a trip to the bench and kept Chad in his flow.

A customer comes in to pick up

When you close a job out, you're the one making sure they leave happy and nothing slips through.

  1. Tap the Front Desk tab and find their name in the Close-Out Lane.
  2. Check the boxes as you go: Podium sent, Receipt made, Closed in Edge, Picked up.
  3. All four checked and the job clears itself. That's a job fully, cleanly done — by you.

Make the receipts for payments taken

Keeping receipts current daily is what makes month-end painless for everyone.

  1. On the Front Desk tab, look at Receipts to Make — every payment still needing an Edge receipt.
  2. Make the receipt in Edge, then check it off. It drops off the list automatically.
  3. Same thing happens whether you check it here or on the Ledger — it's one list.

You finish making something

Marking it complete is how the front desk knows it's their turn — it keeps the handoff smooth.

  1. Open the job on the Job Board, check Complete under “Final,” and set Status to Complete.
  2. It moves to the Front Desk tab automatically for the next person to call the customer.

Someone walks in

Logging visits means we finally know who's coming through the door — useful to all of us.

  1. Tap the Front Desk tab.
  2. In the Guest Book, type who came in and tap Log. The time saves itself.

Money comes in — log it on the Ledger

One clean list of every dollar means month-end reconciling stops being a treasure hunt.

  1. Tap the Ledger tab.
  2. Type the customer, the amount, and how they paid (Clover, Podium, or Check), then Add.
  3. As you make the Edge receipt, check the Edge box. If a piece ships, tap the pencil to add tracking.
  4. Missed a day? Tap the pencil on a transaction and change its date — it moves to the right day.

Check the schedule / confirm a shift

Everyone seeing the same schedule means no more “wait, who's working Saturday?”

  1. Tap the Schedule tab to see who's working, weeks ahead. Front Desk also shows this week at a glance.
  2. Tap any day under a name to add or change hours.
  3. When a shift is worked, tap confirm under it (turns green with a ✓). If it ran long or short, open it to adjust the hours.

You need a job’s photos or CAD

Everything for a job lives in one place, so nobody's hunting through folders.

  1. Open the job and tap the blue Open folder button at the bottom.
  2. It opens that customer's Dropbox folder. If it's not there yet, make one — named by last name.

A job is urgent

Starring keeps the whole team's eyes on what matters most today.

  1. Open the job and tap the star (top-left of the box, or on its row).
  2. Starred jobs jump to the top of everyone's list.

A brand-new custom job comes in

Getting it on the board right away is what keeps anything from falling through the cracks.

  1. Tap the Job Board tab, then the gold + New Job button.
  2. Add the name and what you know — you can always come back and fill in more.
  3. Tap Save.

Send a message to the team

The Bulletin is our shared message board — a question, a heads-up, or a glitch.

  1. Tap the Bulletin tab, type your note, and pick who it's for (a person, the whole team, or leave it for everyone), then Post.
  2. Use For me to see what's aimed at you — new ones are marked. Replies go right on the note.
  3. When something's dealt with, tap ✓ Mark handled so it clears off the active board.

Something looks broken or wrong?

If something looks broken, wrong, or just confusing — you didn't do it, and catching it helps the whole team. Go to the Bulletin tab, post a quick note about what you saw, and flag it to Danny. It'll show up as new for him. When it's sorted, mark it handled so it clears. There's no such thing as a dumb report here — if it looked off to you, it's worth flagging.

That's it. Keep the board current, and it keeps every one of us able to answer for any job, any time. That's the whole game — and it only works because each of us does our part.
